Job Description

The Position:

The ESS FS order to Cash (OtC) Order Management Specialist will work with a team of professional OtC colleagues in the ESS FS Kuala Lumpur Office delivering and managing end to end OtC processes. Additionally, the OtC Order Management Specialist will work daily with our global BPO partner who executes OtC Transactional services for Organon in the Region. The Order Management Specialist will be expected to support/backup as needed in a selection of the OtC process areas (Collection & Cash Applications, Credit Management and Order Management).

The Order Management Specialist will contribute to ensuring all OtC Order management processes and transactions comply with accounting standards, policies, SOX and statutory requirements. The Order Management Specialist will also provide input to the global process owner group for operational opportunities for process and control design, as well as customer experience. The Order Management Specialist will collaborate closely with BPO partners, internal teams, and market-facing contacts to gain a comprehensive understanding of business operations. This role serves as a key representative of Organon’s operational excellence and brand experience in market interactions.)

The OtC Order Management Specialist will help to build a strong governance and relationships and establish stable, effective, standardized​​​ and controlled OtC process delivery to our ESS FS internal stakeholder and external clients.

Position Responsibilities:

  OtC Order management Process delivery:

  • Deliver services in accordance with agreed Service Level, Controls and Governance.
  • Adhere to policies and internal controls, comply with OtC order management guidelines, ensuring process and SOX controls are executed in a timely and accurate fashion to ensure our control environment remains robust.
  • Support order management end to end process included Credits, claims, rebates and returns management to ensure timely delivery of products.
  • Manage communication channels such as shared inboxes and telephony systems, ensuring proper documentation and correspondence handling.
  • Manage reporting requirements for SAP reports to support business continuity.
  • Supporting financial, quality, medical and supply chain audits as required
  • Manage continuity of supply and communicate to wholesaler and internal stakeholders to support to ensure seamless operation and strong external engagement.  
  • Bring a process improvement focus, supporting implementation of best practices and a project management discipline.
  • Collaborate with internal and external auditors to support successful audit results and compliance with US GAAP and company policies.
  • Support training, accuracy, and timely delivery of work outputs.
  • Participate with process owners and other ESS FS Center colleagues to help identify opportunities to drive efficiencies through continuous improvement.
  • Maintain professional and detailed process and related internal control documentation such as global SOPs, Regional Work Instructions etc in coordination with the OtC Global Process Owner & ICC.
  • Provide consultative support to our outsource partners in Genpact Dalian and ensure timely resolution of issues
  • Resolve escalated queries in accordance with agreed SLAs
  • Collaborate cross functionally within the company/vendors/employees to resolve process and/or technical issues Athena and associated OtC systems.

Support Internal Stakeholders:

  • Deliver 'world-class service' experience for customers, fellow employees, and stakeholders.

Required Education, Experience, and Skills:

  • Bachelor’s Degree in Business Administration, Accounting or Finance or other related to OtC
  • Minimum 4-6 of years of experience in a finance or accounting department of a multinational company preferred.
  • Strong proficiency in English, with excellent written and verbal communication skills.
  • Experienced in liaising with customers, handling inquiries, and resolving complaints proficiency in English effectively and professionally.
  • Proven experience in managing Asia region-specific operations, including direct engagement with external stakeholders in a professional setting
  • Prefer Experience in SAP S4 Hana (SD module), particularly in areas related to order processing and operational coordination.
  • Familiarity with Order Management end-to-end process execution, including issue resolution, documentation handling, and cross-functional collaboration.
  • Experience with Internal or External Audit valued.
  • Demonstrated strong math, query, analytical and systems skills with demonstrated experience in data management, MS Office.
  • Demonstrated ability to maintain financial controls.
  • Experience with continuous process improvement projects
  • Pays attention to details, produces accurate deliverables, and consistently meets deadlines.
  • Good financial background with experience in accounting processes valued.
  • Proactive style in implementing new processes.
